Use non-personal organizations, teams, or folders as live access boundaries; choose Editor, Commenter, or Viewer; and keep one-project collaboration in the project Share dialog.
Where: Dashboard → left sidebar — Use the org/team switcher and Folders list
Key ideas
- Hierarchy: Organization → Team → Folder → Projects. A personal org/team exists by default; agency plans add more organizations.
- Folders: Create/rename/delete folders to group projects; pinned “Recent Projects” and “Shared with me” are always there.
- Members & sharing: Open organization, team, or folder settings to add an existing flowmo account by email with Editor, Commenter, or Viewer access. The grant covers every project inside that container.
- Personal workspace safety: Your personal organization contains everything you have made and future projects by default, so it cannot be shared as a whole. Create a separate organization and move only the intended work into it.
Steps
- In the dashboard sidebar, pick the intended organization, team, and folder.
- Create a separate non-personal container when the access boundary should not include all personal work.
- Open organization/team/folder settings, add an existing flowmo account by email, and choose Editor, Commenter, or Viewer.
- Use the project Share dialog instead when the person needs only one project.
- Review and remove access when the engagement ends.
Hierarchy and scope
- Organization: account/business boundary that can grant every contained project.
- Team: membership and collaboration scope inside an organization.
- Folder: project organization with optional folder-wide sharing.
- Project: the narrow individual collaborative object.
- Recent Projects / Shared with me: dynamic views, not stored duplicates.
Which guide next
- Organization/team/folder access and personal-workspace safety → Share organizations, teams, and folders.
- Role decisions → Manage workspace members and roles.
- Folder/move/pinned-view tasks → Organize projects with folders, Recent, and Shared with me.
- One-project invitation/link → Sharing a project & collaborators.
Tips
- Grant the narrowest scope that lets a collaborator do their work.
- Select the intended organization/team before creating or moving a project.
- Create a separate organization before sharing work that currently lives in the personal workspace.
Limitations and important notes
- Organizations, seats, and some workspace controls depend on plan and user role.
- The personal organization cannot be shared as a whole.
