Limit a Deliverables Review board to named people, update access immediately, preview and refresh every website page/device, take the board offline, and later restore it at the same review link with comments intact.

Before you start
- A Deliverables Review node with at least one connected product.
- Permission to publish/update the board.
Key ideas
- Link access still requires sign-in: With no email list, anyone holding the link can open it after signing in. Adding one or more addresses changes the policy to named people only.
- Access changes are live: When a board is already published, adding or removing an email updates the published record immediately. Removing someone does not wait for the next content republish.
- Unpublish is reversible: Taking the board offline immediately stops the review link, but the node keeps its board id and existing comments. Publishing again restores the same URL with a fresh content snapshot.
- Website preview is page- and device-aware: Published website products carry every selected page with the home page first. A dropdown switches pages, device buttons change the real iframe width, and Refresh re-fetches/re-exports the latest document rather than merely reloading stale HTML.
Steps
- Connect and curate the deliverables, then open the Deliverables Review properties panel.
- Leave the people list empty for signed-in link access, or add each exact reviewer email to restrict the board. Remove an address to revoke it immediately.
- Publish and test the link using the same email-based sign-in flow a reviewer will receive.
- Open a website tile, use the page dropdown to inspect every selected page, switch device widths, and use Refresh after the underlying document changes.
- Republish when connected products, selected pages/breakpoints, labels, visibility, layout, rich content, or the reviewer snapshot needs updating.
- Choose Unpublish and confirm when the link must stop working. Publish again later to reactivate the stable link and preserved comments.
Access modes
- Empty allowed-email list: anyone with the URL can open after signing in.
- One or more emails: only those normalized email addresses can read the board.
- Reviewers use a one-tap link sent to the exact sign-in address; forwarding only the board URL does not grant another account access.
- The owner/publisher keeps access.
Unpublish guarantees
- The review URL stops working immediately after the server confirms deletion.
- If deletion fails, the node reports an error and treats the link as still live.
- The node retains boardId.
- Existing comments are retained.
- Republish reuses the same link and writes a fresh snapshot.
Multi-page website preview
- Home page is ordered first.
- A dropdown appears only when more than one page is available.
- Device widths honor the selected breakpoint list.
- Refresh re-exports pages from the current .fmo document.
- Old one-page snapshots remain viewable but need republish to gain the full page picker on the public board.
Tips
- Use named emails for client/confidential work; use signed-in link access for lower-risk team reviews.
- Remove access before discussing sensitive changes in a new publish; revocation is immediate.
- Open the published link in a separate browser profile before sending it.
- Refresh for editor preview, but republish to update what external reviewers receive.
Limitations and important notes
- The board is a published snapshot; Refresh in the editor does not silently overwrite the public review.
- Unpublishing does not delete the Flowgen node, its settings, stable id, or comments.
- A person whose email is not on a non-empty access list cannot enter merely by receiving the link.
- Boards published before full-page snapshots need republishing for the public page dropdown.
Troubleshooting
A reviewer has the link but cannot open it
Confirm they signed in with the exact allowed address, including the same alias/domain spelling, and that the address remains in the node’s access list.
Removing an email did not seem to revoke access
Wait for the update to finish, then test from a fresh session. If the update showed an error, retry; the UI does not pretend a failed server write succeeded.
The board shows an old website page
Refresh the editor preview, verify the page dropdown, then republish the board so the public snapshot receives the current pages.
The public board has no page dropdown
Ensure more than one page is selected for the website product and republish. A legacy snapshot may contain only its original page.
Unpublish failed
Assume the link is still live, check the connection/auth state, and retry until the node confirms the board is offline.
FAQ
Does anyone with the link get in automatically?
No. Even the open-link mode requires sign-in. A non-empty email list restricts sign-in further to only those addresses.
Will republishing create a new URL?
No. The node retains the board id so publishing again restores the same link.
Are comments lost when I unpublish?
No. Existing comments are kept and return with the board when that stable link is published again.
