Create and share folders, move projects into the right workspace context, and use Recent Projects or Shared with me without mistaking them for physical duplicate folders.
Where: Dashboard → workspace sidebar → Folders / Recent Projects / Shared with me
Key ideas
- Folders organize; they do not duplicate: Moving a project changes its organizational location. The project remains the same collaborative object with its links, history, and content.
- Pinned views: Recent Projects and Shared with me are dynamic views. They surface projects based on activity or access and do not represent another stored copy.
- Folder sharing: A shared folder provides access to the folder scope. Use a project Share dialog when only one project should be exposed.
Steps
- Select the intended organization and team in the dashboard sidebar.
- Create a folder, give it an outcome/client-based name, and move the appropriate projects into it.
- Open folder settings to rename, share, or remove the folder when needed.
- Use Recent Projects for quick return and Shared with me to find invitations from outside your own folder structure.
- Before deleting a folder, inspect its contents and confirm what happens to contained projects in the dialog.
Tips
- Use a separate team for a true access boundary and folders for organization within that boundary.
- Search or sort the projects grid when a folder contains many projects.
Limitations and important notes
- Folder and move actions require the appropriate workspace role.
- Recent and Shared with me cannot be renamed because they are dynamic views.
